Job description

  • Manage the Director’s daily schedule, appointments, and business commitments across both entities.
  • Screen, prioritise, and respond to emails, calls, and correspondence on behalf of the Director.
  • Prepare reports, meeting notes, business correspondence, and documentation required for operational and compliance purposes.
  • Maintain accurate filing systems (digital and physical) for contracts, invoices, and operational records.

· Liaise with cleaning contractors and client companies to coordinate service delivery requirements. · Assist in managing service agreements between Wales Island Limited and Clean As Industrial Cleaners Limited. · Track contract performance, service schedules, and client feedback, ensuring issues are escalated promptly to the Director. · Support onboarding of new cleaning contracts, including documentation and coordination of operational requirements. · Coordinate the allocation and movement of cleaning equipment from the warehouse to job sites. · Maintain inventory records of cleaning equipment, supplies, and assets. · Assist in scheduling workforce deployment in collaboration with the operational team of Clean As Industrial Cleaners Limited. · Monitor day-to-day operational activities and provide updates to the Director. · Assist with invoicing, tracking payments, and reconciling basic financial records. · Coordinate with external accountants/bookkeepers to provide required documentation. · Maintain records of business expenses, including home office apportionment and operational costs. · Support compliance requirements, including employment records, health & safety documentation, and INZ-related documentation where required. · Act as a point of contact between the Director, clients, contractors, and suppliers. · Liaise with cleaning staff and contractors to ensure clear communication of job expectations and schedules. · Maintain professional relationships with stakeholders to support ongoing business growth. · Assist in business development activities, including preparing proposals and client documentation. · Support administrative functions across both companies as required. · Perform ad hoc duties to ensure smooth day-to-day running of the business operations.
