Position: new Skilled Worker Visa
Responsibilities
  • Efficiently manage purchasing activities, including placing orders with suppliers while ensuring a high level of customer service.
  • Timely and accurate execution of administrative and maintenance tasks related to procurement systems and buying processes.
  • Process electronic requisitions within the Trust’s purchase-to-pay system.
  • Collaborate with service users to offer procurement guidance, address inquiries, and ensure their needs are fulfilled.
  • Utilise telephone and electronic communication to gather quotations from suppliers.
  • Assess received offers and reach agreements with service users regarding the products and services to be acquired.
  • Manage a specific range of low‑value contracts and actively contribute to the department’s savings objectives and targets.
  • Process and place orders promptly to acquire goods and services efficiently and in a timely manner.
  • Carry out purchasing activities in compliance with Trust protocols, Standing Orders, Standing Financial Instructions, Professional Codes of Practice, and applicable regulations.
  • Foster strong relationships with user departments to ensure delivery of exceptional customer service.
  • Inform service users about the correct procedures for requisitioning and ordering, ensuring requisitioners and authorised officers are fully aware of required protocols.
  • Identify areas with significant expenditures, focusing on recurring low‑value orders, and communicate findings to the Supply Chain Manager and Strategic Procurement teams.
  • Engage proactively with the Trust’s Supply Chain team to address and resolve delivery inquiries, establishing effective delivery arrangements.
  • Engage proactively with the Trust’s Invoice Payments Team to resolve invoice‑related queries and establish efficient payment arrangements.
  • Engage proactively with suppliers to establish agreements on pricing and delivery schedules, addressing any inquiries.
  • Request quotes from suppliers, assess received proposals, and collaborate with service users to determine products and services to acquire.
  • Collaborate with project teams, budget holders, and Strategic teams to prepare summaries of quotations and tenders, assess offers, and provide recommendations on contract awards.
  • Oversee competitive quotation exercises for low‑value contracts under the guidance of the Supply Chain Manager.
  • Actively seek opportunities for cost savings and present findings to service users.
  • Cultivate a comprehensive understanding of the Trust’s national and framework contracts and ensure they are leveraged effectively.
  • Document all savings realized in accordance with the Procurement Savings procedure.
  • Address and resolve inquiries from system users via telephone and email, collaborating with the Supply Chain Manager to maintain accurate records.
  • Generate necessary reports from procurement systems and analyse purchasing data effectively.
  • Organise records and data in both electronic and paper formats with precision and efficiency.
  • Perform various administrative tasks as required, including drafting letters and other documents using Microsoft Office applications such as Word and Excel.
  • Manage telephone communications, organise files, and input data.
  • Leverage pertinent websites for information related to contracts, products, pricing, and suppliers.
  • Take charge of ongoing personal growth and enhancement through conferences, workshops, online resources, and communication platforms.
  • Uphold appropriate ethical standards while conducting the Trust’s business, ensuring professionalism and integrity in all interactions with customers, suppliers, and colleagues.
  • Engage in team meetings as necessary.
  • Contribute to identification and development of value‑for‑money supply solutions.
