- Oversee daily office operations to ensure efficiency and organisation
- Manage appointment scheduling, correspondence, and document preparation
- Utilise Xero for invoicing, bookkeeping, and financial record keeping
- Support team management activities, including staff scheduling and supervision
- Assist with human resources functions such as onboarding, maintaining employee records, and policy compliance
- Supervise administrative staff and coordinate workflow within the office
- Maintain effective communication with clients, suppliers, and internal teams via phone and email
- Ensure office supplies are stocked and equipment is functioning properly
- Handle phone etiquette professionally when liaising with clients or visitors
- Organise meetings, prepare agendas, and take minutes as required
- Monitor compliance documentation and ensure records are audit-ready
- Coordinate with external stakeholders (banks, HMRC, solicitors, etc.)
- Manage office supplies, facilities, and general administration
Requirements
- Proven experience in office administration or clerical roles
- Strong organisational skills with the ability to multitask effectively
- Excellent communication skills both written and verbal
- Proficiency in QuickBooks accounting software
- Previous team management or supervisory experience is desirable
- Knowledge of human resources procedures and practices
- Demonstrated ability to handle confidential information discreetly
- Exceptional phone etiquette and customer service skills
- Ability to work independently as well as part of a team in a fast-paced environment
